These terms and conditions govern your participation in any Conference Design produced and operated in person (onsite) event; meeting; webinar; summit; convention, congress; or conference (‘the Event’), on behalf of the Event Host (‘the Host’). By registering for the Event, you agree to these terms. If you are registering on behalf of another individual, it is your responsibility to ensure the person participating is aware of these terms and accepts them. By completing the registration on behalf of another individual you are warranting that you have made the participant aware of these terms and that they have accepted these terms.
Payment for Registration
Payment of the applicable fee for the Event is due within 7-days of submitting your registration. If you are registering within 90-days of the Event you will be required to pay at the time of registering, using a credit card. If such payment is insufficient or declined for any reason Conference Design may refuse access to the Event and shall have no liability in this regard. Currency and GST All prices are quoted in Australian Dollars (AUD$) and include GST, unless otherwise stated. Confirmation and Tax Invoice Once you have completed your registration, you will be sent a confirmation email with a PDF Tax Invoice. Please ensure that your valid email is entered correctly on the registration form and check your junk mail folder in case your confirmation email(s) are caught by spam filters. Essential information for registered attendees will be sent electronically to the email address that is provided at the time of registration. |
EFT Payments
Please include the EFT Reference shown on your Tax Invoice when submitting an EFT and email Conference Design the details including date, amount and your bank’s reference. BSB: 017 010 Credit Card Payments Credit card charges appear as Conference Design Pty Ltd on your card statement. When using the online payment system credit card transactions will be processed directly by ANZ eGate and Conference Design does not store or transmit your credit card details. ANZ eGate is a secure and PCI compliant platform. Access Your registration entitles you access to the Event applicable to your registration type. All other costs associated with your attendance shall be borne solely by you, and the Event shall have no liability for such costs. Program changes The Host and Conference Design reserve the right to change any and all aspects of the Event, including but not limited to, the Event name, themes, content, program, speakers, format, performers, hosts, moderators, venues, and times. Intellectual Property All intellectual property rights to the Event content, and all materials distributed at or in connection with the Event are owned by the Host, Conference Design, the sponsors, &/or speakers presenting at the Event. Participants may not use or reproduce or allow anyone to use or reproduce any trademarks or other trade names appearing at the Event, in the Event content, or in any materials distributed at or in connection with the Event for any reason without the prior written permission from the Host. No part of the Event may be recorded, reproduced or transmitted in any form or by any means, electronically or mechanically, including but not limited to video or audio recording, photographing, photocopying or any other information storage or retrieval system known now or in the future, without the explicit written permission of the Host. Limitations on Use By registering for the Event, you agree not to sell, trade, transfer, or share your registration unless such transfer is granted by the Host or Conference Design. If the Host or Conference Design determines that you have violated this policy, Conference Design may cancel your registration, retain any payments made by you, report you to law enforcement authorities, and ban you from future events. |
Disruptive Conduct
You acknowledge and agree that the Host and/or Conference Design reserve the right to exclude any person from registering for, or participating in, any Event. In addition, the Host and/or Conference Design may remove any person from the Event if, in their sole discretion, determine that your participation or behaviour creates a disruption or hinders the Event or the enjoyment of the Event content by other attendees. Insurance The registration fees do not include insurance of any kind. Participants are advised to take out appropriate insurance. Neither the Host nor Conference Design covers individuals against the cancellations of bookings for any reason including cancellation or postponement of the Event or for theft or damage to belongings. Registration Cancellation Any individual registration cancellation requests are subject to the cancellation policy listed below and as agreed to when registering for the Event. Conference Cancellation or Postponement The Host and Conference Design do not accept any liability for losses incurred (such as travel costs, hotel costs or any other costs or expenses) if the Event is cancelled or postponed due to an unforeseen occurrence or any other occurrence that renders performance of this Event inadvisable, illegal, impracticable or impossible. An unforeseen occurrence shall include, but shall not be limited to: an Act of God; infectious disease outbreak, industrial disruptions, service provider failures, governmental restrictions and/or regulations; war or apparent act of war; terrorism or apparent act of terrorism; disaster; civil disorder, disturbance, and/or riots; curtailment, suspension, and/or restriction on transportation; or any other emergency. The Host and Conference Design continue to monitor government advice in relation to COVID-19; the health and safety of all attendees to the Event is of the utmost importance. If the Event is cancelled or changed to an online or hybrid Event due to a force majeure occurrence before the first day of the Event, any partial refunds will be issued after the payment of the Event liabilities and expenses. Limitation of Liability The Host and Conference Design does not take responsibility for technical issues outside of their control, i.e., internet and power outages. Where possible the Host and Conference Design will supply backup solutions to avoid any prolonged interruptions, but this cannot be guaranteed if the cause of the interruption falls outside their jurisdiction. Visas Due to strict visa requirements persons participating in person from the countries listed below will not have their registrations and presentations confirmed until they have obtained a visa: Benin, Burkina Faso, Cape Verde, Cóte d’Ivoire, Gambia, Ghana, Guinea, Guinea-Bissau, Liberia, Mali, Niger, Nigeria, Senegal, Sierra Leone, Togo, Cameroon, Kenya, Somalia, Iran, Pakistan, Algeria, Libya, Egypt. Photography & Video By registering for this event, you consent to having your photo and/or video taken and used for promotional purposes, this may include Facebook, LinkedIn, Twitter, Association Website, Conference Website & Email Marketing. If you do not wish to have your photo taken please advise the conference staff. |
Accommodation BookingsThe online registration form allows delegates to book available rooms. Credit card details must be provided, which will be forwarded to the hotel to guarantee the booking. Where participants are already registered for the Event, an email request can be sent to Conference Design stating accommodation requirements. Extended BookingsTo extend accommodation bookings for a stay prior to or following the Event, an email stating the request can be sent directly to Conference Design. Bookings are subject to availability. Changes and CancellationsCancellations and no-shows will incur a charge of at least one night’s accommodation. Each hotel’s policy varies, and late cancellations and no-shows may be charged for all the nights booked. Please check individual cancellation policies are listed under each property on the ‘accommodation page’ Cancellations and date changes must be received in writing, emailed to mail@conferencedesign.com.au.

PaymentAccommodation and incidental expenses must be settled using a credit card upon check-out. Payment for accommodation using a third-party credit card can be arranged. For instance, a booking can, be made using a colleague’s business credit card, by completing the Credit Card Authorisation form below and emailing it to the confirmed hotel 30-days prior to the Event. Any accommodation pre-payments made to Conference Design will be forwarded to the selected hotel. Pre-payments must be received 30-days prior to the Event. Please email mail@conferencedesign.com.au to be invoiced for accommodation together with the Event registration fee. Early Check-in RequestsEarly check-in and late check-out requests are subject to availability on the day and cannot be confirmed by Conference Design. Special requests for early check-in can be entered in the “Special Requests” field of your booking. The hotel will endeavour to accommodate request on the day. Please enquire about the status of your request at the front desk upon check-in.

Bookings & PaymentsAcceptance of terms & conditionsConference Design Pty Ltd, members of the organising committee and the host organisation are collectively referred to as the Organisers. The Organisation listed on the sponsorship and exhibition application will be referred to as your Organisation or collectively as sponsors and exhibitors. By submitting a sponsorship and/or exhibition booking you are accepting these terms and conditions. Acceptance of bookingsConference Design will issue a tax invoice once a sponsorship and exhibition application has been submitted. Any advertising is not an offer of acceptance. The Organisers reserve the right to decline any sponsorship and exhibition application. Goods and Services Tax (GST) & currencyAll costs are inclusive of 10% Australian Goods and Services Tax (GST) and listed in Australian Dollars (AUD) PaymentPayment is required within 14-days of Conference Design issuing your tax invoice. Sponsorship and exhibition entitlements, including the allocation of exhibition space, do not commence until payment has been received. Cancellation of your sponsorship &/or exhibition bookingOnce a sponsorship and exhibition application has been accepted all payments are non-refundable. If you are no longer able to attend the conference please contact Conference Design to discuss your participation. Cancellation or postponement of the conferenceThe Organisers do not accept any liability for losses incurred if the conference is cancelled or postponed due to an event that renders proceedings with the meeting inadvisable, illegal, impracticable or impossible. If the conference is cancelled or postponed refunds will not be issued but available funds will be credited towards the rescheduled conference. An unforeseen event could include, but is not limited to, an infectious disease outbreak; industrial disruptions; service provider failures; governmental restrictions or regulations; war or apparent act of war; terrorism or apparent act of terrorism; disaster; civil disorder, disturbance, and/or riots; curtailment, suspension or restriction on transportation; or any other emergency. |
General InformationDisclaimer and chargesEvery effort has been made to present all the information accurately, however no liability is accepted for any inaccuracy and the Organisers reserve the right to change any published information. The Organisers reserve the right to amend, update or delete sponsorship and exhibition packages and the exhibition floor plan. Exhibition floor planThe exhibition floor plan is subject to change without notice. The floor plan is not to an exact scale, but accurately represents the position and sizes of exhibition spaces at physical conferences. CorrespondenceWhen booking please appoint a single point of contact within your Organisation. All bookings will be recorded under this one name and all correspondence will be sent to this person. Allocation of exhibition spaceConference Design will allocate exhibition spaces after taking into account each organisation’s sponsorship, the date of application, preferences, proximity to competitors and any other matters deemed relevant. InsuranceAll sponsors and exhibitors must have adequate insurance for the period of the conference, including public and products liability cover and professional indemnity insurance. The Organisers may request a certificate of currency. IndemnityYour Organisation shall indemnify and hold harmless the Organisers for any loss, damage to property or injury to persons suffered as a result of your participation in the conference, except where the Organisers are found to be negligent. Supply of goods and servicesThe supply of any goods, services, samples or advice is entirely at your Organisation’s own risk. |
During the ConferenceSecurityValuable items should NOT be left unattended at your exhibition space at any time and especially not overnight. No responsibility is accepted for any loss or damage to equipment and display materials. RepresentativesAnyone from your Organisation attending the conference or guests you wish to invite to the conference must register with Conference Design before the conference. An official name badge will be required to access the meeting and exhibition areas. Custom standsAll custom stands must fit within the purchased exhibition space. Custom stands must not exceed 3.0 metres high. If you have any questions please email us a floor plan and elevations of your proposed stand. Delegate listThe delegate list will be supplied on the Conference App at the time of the conference and will include name, organisation and state. The list provided will exclude names which have not provided their consent. Interactive exhibitionsWhilst we encourage you to develop entertaining and interactive displays to attract delegates, please be mindful not to disturb other exhibitors or delegates. Signage at the venueYour signage should be free standing to allow for easy placement and should be contained with your exhibition space. Dismantling displaysDue to safety requirements you will not be able to dismantle your display before the published closing time. Damage to the venueYour Organisation shall indemnify the Organisers from all liability for damage to the venue deemed to have been caused by your staff, contractors, agents or guests. The cost of repairs will be the sole responsibility of your Organisation. Change of FormatShould circumstances beyond our control necessitate a change of format (ie moving to online rather than in-person), the sponsorship packages will be refined to incorporate and reflect the benefits of the new format. This will be done in consultation with any confirmed sponsor. |
